Entity Financial Detail Report

The Entity Financial Detail Report screen is divided into two sections; System Parameters and User Parameters. In the System Parameters section, the user must specify details for the format of the report; in the User Parameters section, the user must specify details pertaining to the content of the report. Report Description

The Entity Financial Detail Report is generated for a user specified Accounting Month and Year, and has nine different formatting options: by Responsible Timekeeper, by Originating Timekeeper, by Billing Timekeeper, by Responsible Secretary, by Bill Entity, by Major Client, by Nature, by Office, or by Department. The report can only be generated in one format at a time, and for the selected option, the user must specify the range of entities of the selected type for which the report will be produced. The user also has the option to include/exclude information regarding files that are soft closed, include/exclude zero balances, and include/exclude entities carrying trust balances. Report contents can be sorted either alphabetically or numerically.

The report output can be generated into an Excel spreadsheet file, or in the same manner as most other reports (i.e. format selected in the System Parameters section). When generating an Excel file, the user must specify the full path and file name (i.e. c:\My Documents\Sample_Entity_Financial_Detail.xls). Keep in mind that this report can be generated in the manner selected in the System Parameters section AND generated to an Excel file at the same time; there is no need to run the report twice if the user wishes to have Excel output in addition to output in another format.

Report details include the following: Last Billed Date, Last Active Date, AR Fees, AR Disbursements, AR Tax, AR Interest, WIP Fees, WIP Disbursements, WIP Tax, Regular Trust, and Invested Trust. Totals are presented per column and per entity.

 

User Parameters

User Parameters

Accounting Month, Accounting Year
The user must select the Accounting Month from the list provided, and manually enter the Accounting Year for which the report will be produced. These fields default to the current Accounting Month and Year.

Include Closed Matters
To include "Hard" Closed Matters in the report (i.e. Matters that are closed and can no longer be posted to), the user must select "Y" from the list provided: to not include "Hard" Closed Matters in the report, the user must select "N" from the list provided. The user also has the option to manually enter either "Y" or "N". This field defaults to the "Y" option.

Include Soft Closed Files
To include Soft Closed Matters in the report (i.e. Matters that are closed but can still be posted to), the user must select "Y" from the list provided: to not include Soft Closed Matters in the report, the user must select "N" from the list provided. The user also has the option to manually enter either "Y" or "N". This field defaults to the "Y" option.

Suppress Zero
To include Files carrying a zero balance in the report, the user must select "Y" from the list provided: to not include Files carrying a zero balance in the report, the user must select "N" from the list provided. The user also has the option to manually enter either "Y" or "N". This field defaults to the "Y" option.

Entities With Trust Only
To include only those Entities carrying a Trust balance in the report, the user must select "Y" from the list provided: to include all Entities in the report, the user must select "N" from the list provided. The user also has the option to manually enter either "Y" or "N". This field defaults to the "N" option.

Sort By
From the list provided, the user must select the way in which the report information will be sorted. Valid options are Numerically or Alphabetically. This field defaults to the Numeric option.

Report By
From the list provided, the user must select the format in which the report will be produced. Valid options are: by Responsible Timekeeper, by Originating Timekeeper, by Billing Timekeeper, by Responsible Secretary, by Bill Entity, by Major Client, by Nature, by Office, or by Department. Once the user has made their selection, they must then continue to the corresponding section of the screen and define the range of entities for which the report will be produced (i.e. if the user selects the Nature option, they must then continue to the Nature section of the screen). The user also has the option to manually enter their Report By choice. This field defaults to the Responsible Timekeeper option.

Responsible Professional - Timekeeper X to X

From the lists provided, the user must select the range of the Responsible Timekeepers for whom the report will be produced. The user also has the option to manually enter the unique identifiers of the Timekeepers. These fields default to the first and last possible Timekeepers (i.e. by default, all Responsible Timekeepers will be included in the report). Note: These fields are to be used only when the user has selected the Responsible Timekeeper Report By option.

Originating Professional - Timekeeper X to X
From the lists provided, the user must select the range of the Originating Timekeepers for whom the report will be produced. The user also has the option to manually enter the unique identifiers of the Timekeepers. These fields default to the first and last possible Timekeepers (i.e. by default, all Originating Timekeepers will be included in the report). Note: These fields are to be used only when the user has selected the Originating Timekeeper Report By option.

Billing Professional - Timekeeper X to X
From the lists provided, the user must select the range of the Billing Timekeepers for whom the report will be produced. The user also has the option to manually enter the unique identifiers of the Timekeepers. These fields default to the first and last possible Timekeepers (i.e. by default, all Billing Timekeepers will be included in the report). Note: These fields are to be used only when the user has selected the Billing Timekeeper Report By option.

Responsible Secretary - Timekeeper X to X
From the lists provided, the user must select the range of the Responsible Secretaries for whom the report will be produced. The user also has the option to manually enter the unique identifiers of the Secretaries. These fields default to the first and last possible Timekeepers (i.e. by default, all Responsible Secretaries will be included in the report). Note: These fields are to be used only when the user has selected the Responsible Secretary Report By option.

Bill Entity - Bill Entity X to X
From the lists provided, the user must select the range of the Bill Entities for whom the report will be produced. The user also has the option to manually enter the unique identifiers of the Bill Entities. These fields default to the first and last possible Timekeepers (i.e. by default, all Bill Entities will be included in the report). Note: These fields are to be used only when the user has selected the Bill Entity Report By option.

Major Client - Major Client X to X
From the lists provided, the user must select the range of the Major Clients for whom the report will be produced. The user also has the option to manually enter the unique identifiers of the Major Clients. These fields default to the first and last possible Major Clients (i.e. by default, all Major Clients will be included in the report). Note: These fields are to be used only when the user has selected the Major Client Report By option.

Nature - Nature X to X
From the lists provided, the user must select the range of the Natures for which the report will be produced. The user also has the option to manually enter the unique identifiers of the Natures. These fields default to the first and last possible Natures (i.e. by default, all Natures will be included in the report). Note: These fields are to be used only when the user has selected the Nature Report By option.

Office - Office X to X
From the lists provided, the user must select the range of the Offices for which the report will be produced. The user also has the option to manually enter the unique identifiers of the Offices. These fields default to the first and last possible Offices (i.e. by default, all Offices will be included in the report). Note: These fields are to be used only when the user has selected the Office Report By option.

Department - Department X to X
From the lists provided, the user must select the range of the Departments for which the report will be produced. The user also has the option to manually enter the unique identifiers of the Departments. These fields default to the first and last possible Departments (i.e. by default, all Departments will be included in the report). Note: These fields are to be used only when the user has selected the Department Report By option.

Create Excel Output
To send the report contents to an Excel spreadsheet file, the user must select the "Y" (i.e. Yes) option form the drop down list provided. This field defaults to the "N" (i.e. No) option. Keep in mind that this report can be generated in the manner selected in the System Parameters section AND generated to an Excel file at the same time; there is no need to run the report twice if the user wishes to have Excel output as well as output in another format.

Excel Destination
If the user has selected to send the report contents to an Excel spreadsheet file, they must then specify the exact path and name for that file (i.e. c:\My Documents\Sample_Entity_Financial_Detail.xls).
