Aged WIP Detail by Responsible Timekeeper Report

The Aged WIP Detail by Responsible Timekeeper Report screen is divided into two sections; System Parameters and User Parameters. In the System Parameters section, the user must specify details for the format of the report; in the User Parameters section, the user must specify details pertaining to the content of the report. Report Description

The Aged WIP Detail by Responsible Timekeeper report can be can be generated for a specific Office, range of Departments within that Office, range and status of Timekeepers, and range of Clients. The report contents can then be sorted according to either the Transaction Date or the Accounting Month and Year. When the report is run based on the Transaction Date, the reporting pockets can be left at the default number of days in size, or the user can specify the reporting pocket size. When the report is run based on the Accounting Month and Year, the reporting pockets are one per month, starting with either the default or user specified month.

For both reporting options (i.e. Transaction Date or Accounting Month and Year), the report information is grouped by Timekeeper, for all Timekeepers in a user specified range. Report details include Client and Matter information; the WIP Fees, Hours, and Disbursements for each Client/Matter and for each reporting pocket; and the total amount of WIP for each Client/Matter.

Totals are presented per Responsible Timekeeper for each reporting pocket, and for the total WIP. Clients and Matters that carry a zero WIP balance are not included in this report. When the report is produced based on the Accounting Month and Year, the report will balance to the relevant General Ledger Accounts.

The report output can be generated into an Excel spreadsheet file, or in the same manner as most other reports (i.e. format selected in the System Parameters section). When generating an Excel file, the user must specify the full path and file name (i.e. c:\My Documents\Aged WIP Detail.xls). Keep in mind that this report can be generated in the manner selected in the System Parameters section AND generated to an Excel file at the same time; there is no need to run the report twice if the user wishes to have Excel output in addition to output in another format.

 

User Parameters

User Parameters

Office
From the list provided, the user must select the name of the Office for which the report will be produced. The names of all Offices associated with your Firm will be displayed in the list. To include all Offices in the report, the user must select the Select All option. The user also has the option to manually enter the unique identifier of the Office. This field default to the Select All option (i.e. by default, all Offices will be included in the report).

Department X to X
From the lists provided, the user must select the range of Departments within the selected Office(s) to be included in the report. The user also has the option to manually enter the unique identifiers of the Offices. These fields default to the Select All option (i.e. by default, all Departments will be included in the report).

Timekeeper Status
From the list provided, the user must select the type of Timekeeper for which the report will be produced. Valid options include: Active Timekeepers and All Timekeepers. The user also has the option to manually enter the Timekeeper Status. This field defaults to the All Timekeepers option.

Timekeeper X to X
From the lists provided, the user must select the range of Timekeepers that will be included in the report information. The user also has the option to manually enter the unique identifiers of the Timekeepers. These fields default to the first and last Timekeepers in the list (i.e. by default, all Timekeepers will be included in the report).

Show Office/Department
From the list provided, the user must select either "Y" or "N". The "Y" option groups report details by Office and Department, while the "N" option does not. This field defaults to the "Y" option.

Client X to X
From the lists provided, the user must select the range of Clients that will be included in the report information. The user also has the option to manually enter the unique identifiers of the Clients. These fields default to the first and last Clients in the list (i.e. by default, all Clients will be included in the report).

Suppress Zero
From the list provided, the user must select either "Y" or "N". The "Y" option suppresses zero balances, while the "N" option displays zero balances wherever the occur. The user also has the option to manually enter either "Y" or "N". This field defaults to the "Y" option.

Report By
From the list provided, the user must select the format by which the report will be produced. Valid options are Date (i.e. Transaction Date - not to be confused with the date entered into the system) and Month (i.e. Accounting Month and Year). The user also has the option to manually enter the desired Report By option. If the user chooses to produce the report based on the Transaction Date, they must then continue to the Option 1 - Report By Date section: if the user chooses to produce the report based on the Accounting Month and Year, they must then continue to the Option 2 - Report By Month section.

Option 1 - Report By Date
In this section, the user must enter the date at which the reporting pockets are to begin, and then enter the size (in days) of the reporting pockets. The user can also accept the default date and pocket sizes.

Option 2 - Report By Month
In this section, the user must either accept the default Accounting Month and Year, or manually enter a different Accounting Month and Year. The reporting pockets will one per month, beginning at the month that appears here. The fields in this section default to the current Accounting Year and Month.

Create Excel Output
To send the report contents to an Excel spreadsheet file, the user must select the "Y" (i.e. Yes) option form the drop down list provided. This field defaults to the "N" (i.e. No) option. Keep in mind that this report can be generated in the manner selected in the System Parameters section AND generated to an Excel file at the same time; there is no need to run the report twice if the user wishes to have Excel output as well as output in another format.

Excel Destination
If the user has selected to send the report contents to an Excel spreadsheet file, they must then specify the exact path and name for that file (i.e. c:\My Documents\
Aged WIP Detail.xls).
