Aged Accounts Receivable Detail by Timekeeper Report

The Aged Accounts Receivable Detail by Timekeeper Report screen is divided into two sections; System Parameters and User Parameters. In the System Parameters section, the user must specify details for the format of the report; in the User Parameters section, the user must specify details pertaining to the content of the report. Report Description

The Aged Accounts Receivable Detail by Timekeeper Report can be generated for a specific Office, and for a range of Departments within that Office. The report contents can then be narrowed by four different Timekeeper types (i.e. Billing, Originating, Responsible, and Working) and by Timekeeper Status (i.e. Active or All). For the selected Timekeeper type and status, the report is produced for a user specified range of Timekeepers. The report can be produced in two different formats: by Transaction Date or by Accounting Month. When produced by Transaction Date, reporting pockets default to thirty days in length, but this may be changed by the user. When produced by Accounting Month, reporting pockets are one per Month, starting with a user specified Accounting Month.

For either formatting option (i.e. Transaction Date or Accounting Month), the report information is grouped by Timekeeper, and then within each Timekeeper section, the information is sorted by either Transaction Date or Accounting Month. Report details include the following: general Client/Matter information; within each reporting pocket, the AR Fees, Tax, and Disbursements for each Client/Matter; and AR totals for each Client/Matter and for each Timekeeper. A report total displaying the total Accounts Receivable is also provided.

Client/Matters carrying a zero Accounts Receivable balance will not be included in the report. When the report is produced by Accounting Month, the report will balance to the associated General Ledger Accounts.

The report output can be generated into an Excel spreadsheet file, or in the same manner as most other reports (i.e. format selected in the System Parameters section). When generating an Excel file, the user must specify the full path and file name (i.e. c:\My Documents\Sample_Aged_AR_Detail_Tmkps.xls). Keep in mind that this report can be generated in the manner selected in the System Parameters section AND generated to an Excel file at the same time; there is no need to run the report twice if the user wishes to have Excel output in addition to output in another format.

 
User Parameters

Show Office/Dept
To display the names of the Offices and Departments in the report contents, the user must select "Y" (Yes) from the drop down list provided (i.e. contents will be grouped first by Office/Department, then by Timekeeper, and then by either Client Number or Name). To not display the names of Offices and Departments in the report contents, the user must select "N" (No) from the drop down list provided (i.e. contents will be grouped by Timekeeper first, regardless of Office and Department). This field defaults to the "N" option.

Office
From the list provided, the user must select the name of the Office for which the report will be produced. The names of all Offices associated with your Firm will be displayed in the list. To include all Offices in the report, the user must select the Select All option. The user also has the option to manually enter the unique identifier of the Office. This field default to the Select All option (i.e. by default, all Offices will be included in the report).

Department X to X
From the lists provided, the user must select the range of Departments within the selected Office(s) to be included in the report. The user also has the option to manually enter the unique identifiers of the Offices. These fields default to the Select All option (i.e. by default, all Departments will be included in the report).

Timekeeper Type
From the list provided, the user must select the type of Timekeeper for which the report will be produced. Valid options include: Billing, Origination, Responsible, and Working. The user also has the option to manually enter the Timekeeper Type. This field defaults to the Responsible option.

Timekeeper Status
From the list provided, the user must select the type of Timekeeper for which the report will be produced. Valid options include: Active Timekeepers and All Timekeepers. The user also has the option to manually enter the Timekeeper Status. This field defaults to the All Timekeepers option.

Timekeeper X to X
From the lists provided, the user must select the range of Timekeepers to be included in the report. The user also has the option to manually enter the unique identifiers of the Timekeepers. These fields default to the first and last Timekeepers in the list (i.e. by default, all Timekeepers of the specified type will be included in the report).

Sort By
From the list provided, the user must select the way in which the report information will be sorted. Valid options are by Client Number (i.e. Numerically) or by Client Name (i.e. Alphabetically). This field defaults to the Client Number option.

Report By
From the list provided, the user must select the format by which the report will be produced. Valid options include by Date and by Month. The user also has the option to manually enter the Report By option. If the user selects the Date option, they must continue to the Date Option section of the screen: if the user selects the Month option, they must continue to the Month Option section of the screen. This field defaults to the Date option.

Date Option
If the user has selected the Date Report By option, they must continue to the Date Option fields.

Date
The user must manually enter the transaction date (i.e. all AR transactions up to and including the specified date will be included in the report). This date defaults to the current system date.

Reporting Pockets
The user must manually enter the length in days of the reporting pockets by which the report information will be organized. Reporting pockets default to thirty days.

Month Option
If the user has selected the Month Report By option, they must continue to the Month Option fields. Reporting pockets with this option will be one per Month, starting with the Accounting Month specified.

Accounting Month, Accounting Year
The user must select the Accounting Month from the list provided, and manually enter the Accounting Year for which the report will be produced. These fields default to the current Accounting Month and Year.

Create Excel Output
To send the report contents to an Excel spreadsheet file, the user must select the "Y" (i.e. Yes) option form the drop down list provided. This field defaults to the "N" (i.e. No) option. Keep in mind that this report can be generated in the manner selected in the System Parameters section AND generated to an Excel file at the same time; there is no need to run the report twice if the user wishes to have Excel output as well as output in another format.

Excel Destination
If the user has selected to send the report contents to an Excel spreadsheet file, they must then specify the exact path and name for that file (i.e. c:\My Documents\Aged_AR_Detail_Tmkps.xls).
